In situations where an asset may go to multiple locations/sites, we can track its movements through an audit trail.

An asset might be moved for any of the following reasons:

  • It could have been sold to a customer
  • It could be provided as a rental
  • It could be a temporary replacement as part of a repair process


In our recent update, changes are made in the Asset Form in order to:

  • Record an asset location as a GPS location
  • Enable the tracking of an asset moving from site to site 
  • Enable the tracking of an asset moving from customer to customer


Please see the changes in the asset form below:

  1. Removed the following:
    - Required field of Site

  2. Added the following:
    - Customer
    - Geolocation
    - Is_rental toggle button
    - Expected date of return field

  3. When the site is changed:
    a. The customer field will be auto-filled by the customer of the site.
    b. The geolocation field will be auto-filled by the address latitude and longitude of the site; if none it should be blank.

  4. Expected Date of Return will only show when is_rental is active

Note: These changes in the asset form will only reflect if the client’s studio has not been modified. If the client’s studio has already been modified, the new fields will have to be added via the studio settings.


 


Add a GPS location to the Asset:

  1. From the side menu, go to Assets


  2. Click the Add button and fill up the required fields


  3. Enter Geolocation or you may use the map to add GPS location and click "Save"




Asset Record View


The "View Map" beside the value of the geolocation field redirects to the location map page with the asset record list.

  1. Create an Asset with a Geolocation (refer to steps above)
  2. View the Asset Record
  3. In the Geolocation Field, click on "View Map"


    The Assets can be viewed on a map and can be filtered by:
    - Site
    - Address
    - Area
    - Asset
    - Serial Number
    - Status



Asset Location History


An additional widget for "Asset Location History" will be added whenever the asset's customer or site is changed and will contain the following fields: 

  • Transferred date (date when the site was changed)
  • Customer
  • Site (optional) or Address
  • Expected Date of Return (shown if the is_rental toggle is turned ON)
